Effective Date: [DATE TO BE CONFIRMED]

1. Introduction

Integrations Workflows Dynamics ("IWD" or "we") is the organisation responsible for the IWD platform (the "Platform"), including this website, the Service Consultant request form, client accounts, and the client portal.

This Privacy Policy describes how IWD collects, uses, stores, discloses, protects, and manages personal information submitted through or in connection with the Platform. It is written to be consistent with the Nigeria Data Protection Act 2023 and applicable Nigerian data-protection requirements.

This policy does not form part of any contract and may be updated by IWD as described in Section 15.

2. Information We Collect

We may collect personal information through the following channels:

  • Visits to this website;
  • Service Consultant request submissions;
  • Client account registration and client portal activity;
  • Email and other communications with IWD; and
  • Supporting files and documents submitted with a request.

Depending on the channel and the interaction, this may include:

  • Full name;
  • Email address;
  • Phone or WhatsApp number;
  • Service-request information, including request title, description, goal, and preferred category;
  • Additional information or context you choose to provide;
  • Supporting files submitted with a request;
  • Account information associated with your client account;
  • Request reference numbers;
  • Communications and correspondence between you and IWD; and
  • Technical information necessary for the security and operation of the Platform.

IWD does not knowingly collect payment card data, advertising identifiers, location data, or biometric data through the Platform. Where any such category is introduced in the future, this policy will be updated to describe it clearly before such processing occurs.

3. Why We Use Information

We use personal information for purposes that include:

  • Processing and reviewing service requests;
  • Communicating with customers about their requests;
  • Providing the services requested where a request is accepted;
  • Managing client accounts and portal access;
  • Providing customer support;
  • Maintaining the security of the Platform;
  • Preventing misuse and unauthorized activity;
  • Maintaining business and service records;
  • Meeting applicable legal obligations; and
  • Improving platform operations where lawfully permitted.

4. Lawful Basis

IWD processes personal data on applicable lawful grounds under Nigerian data-protection law, depending on the activity. Not every processing activity is based on consent.

Depending on the context, processing may be based on:

  • The taking of steps at your request with a view to entering into or performing a service relationship (for example, processing a service request you submit);
  • Compliance with legal obligations applicable to IWD;
  • Legitimate interests pursued by IWD, such as platform security and preventing misuse, where these are not overridden by your rights and interests; and
  • Consent, where you voluntarily provide it or where consent is the appropriate lawful basis.

Where processing relies on consent, you may withdraw consent at any time without affecting the lawfulness of processing before withdrawal. Withdrawing consent does not automatically erase information that IWD is required to retain for other lawful purposes.

5. Service Requests and Uploaded Files

Information and files submitted through the Service Consultant form may be reviewed by authorized IWD personnel for the purpose of assessing and delivering the requested service.

You should only submit information and files that you have the right and authorization to provide. IWD is not responsible for information or files you submit without the necessary right or authorization.

6. Human Review

Service requests may be reviewed by authorized IWD staff. Submission of a request does not automatically mean that the requested service will be accepted or performed. IWD may request additional information, approve, decline, or otherwise manage a request according to its review process.

7. Sharing Information

IWD may disclose personal information only where reasonably necessary and lawful, including to:

  • Authorized IWD personnel;
  • Technology and service providers acting on IWD's behalf in operating the Platform;
  • Professional advisers where necessary;
  • Public authorities or regulators where legally required; and
  • Other parties where you have authorized or lawfully requested the disclosure.

IWD does not sell your personal information. Specific third-party tools or providers are named in this policy only where they are actually integrated into the Platform and relevant to your data.

8. Data Security

IWD uses reasonable technical and organisational measures appropriate to the nature of the information to protect personal information against unauthorized access, disclosure, alteration, loss, or destruction.

No system can be guaranteed to be completely secure. IWD does not represent or warrant that the Platform is immune to all security risks.

9. Data Retention

IWD retains personal information only for as long as reasonably necessary for the purposes for which it was collected, for legitimate business purposes, to meet legal obligations, for dispute resolution, for security, and for other lawful requirements.

Specific retention periods are applied in line with applicable legal requirements and IWD's internal practices. Where information is no longer required, it is deleted or anonymized where appropriate and lawful.

10. Data Subject Rights

Subject to applicable law, you may have the following rights in relation to your personal data:

  • The right to be informed about how your information is used;
  • The right of access to your personal information;
  • The right to request correction or rectification of inaccurate information;
  • The right to request erasure of your personal information where applicable;
  • The right to restrict or object to processing where applicable;
  • The right to withdraw consent where processing relies on consent;
  • The right to data portability where applicable; and
  • The right to lodge a complaint with the Nigeria Data Protection Commission.

These rights are not absolute and may be subject to exceptions and limitations under applicable law. IWD may need to verify your identity before acting on a request.

12. Data Breaches

IWD maintains procedures intended to detect, assess, respond to, and address personal-data security incidents in accordance with applicable law. Where a notifiable personal-data breach occurs, IWD will handle notification responsibilities in line with applicable legal requirements.

This section does not make specific commitments about notification timelines beyond what applicable law requires.

13. International / Cross-Border Processing

The Platform and its service providers may process personal information outside Nigeria. Where personal information is transferred or processed outside Nigeria, IWD will handle such transfers in accordance with applicable Nigerian data-protection requirements.

IWD does not represent that all personal information is stored exclusively within Nigeria unless and until that is verified and confirmed.

14. Children

The Platform is not intentionally designed to collect personal information from children in circumstances where parental or guardian authorization is required. Where IWD becomes aware that it has inadvertently collected such information, it may take appropriate action, which may include deletion of the information.
